Project Co-ordinator - Cape Town Based ONLY

Project Co-ordination of training programmes:
• Project Scoping:
o Ensuring that you have met with the sales team and understand the required deliverables and time-frames of the agreed project
o Develop the project plan accordingly and get sign-off from the relevant DM or other Client Spokesperson
• Project Initiation
o Ensuring that learnership agreements are compliant with SETA requirements
o Prepare all documentation in accordance with SOP requirements and resporting to the QA
o Ensuring that learners are loaded on LMS as well the relevant SETA database
o Ensuring that learnership start-up requirements are adhered to in terms of checklist
o Confirm facilitators in accordance with project plan
o Confirm venues and/or refreshments in accordance with project plan
o Ensure that the material is ordered in accordance with the project plan and delivered to the appropriate venue
o Create a project dashboard per project
• Project Monitoring
o Ensuring that learners attend all classes
o Update the LMS system with attendance and progress on POE submissions
o Ensure that coach reports and learner evaluations are received per workshop
o Prepare and provide client reporting on progress of the programme, as per SLA
o Highlight areas of risk to managers to discuss with client
o Ensure facilitator invoices are received and checked in accordance with the facilitator contract and project plan
o Ensure that coach reports are received
o Update project dashboard on a continuous basis
• Project Close-out
o Schedule interval moderation and prepare files for internal moderation
o Action feedback on internal moderation
o Ensure adherance to SOP requirements
o Uploading learner results/credits onto LMS and Seta database
o Apply for PMI Certificates.
o Schedule external moderation
o Prepare files for external moderation and external verifier where applicable.
o Action feedback from external moderation
o Close-off SOP
o Follow-up with Seta for Seta Certificates
o Complete all updates on Project Dashboard
• Stakeholder management: Liaison with DM, client, learners, Lead Facilitator, assessors and internal moderators
• Quality Management ensuring all processes managed in line with our internal SOP process.
• Provide information with regards to the billing (supporting documentation or invoice purposes

Job Requirements: 

• An ODETDP certificate or equivalent thereof.
(If still studying, successful achievement thereof within 2yrs to be written into offer of employment by recruiting manager)
• Full learnership delivery experience
• Drivers license and own car essential
• Computer literacy with good MS office skills and preferably with MS projects experience
• Excellent Interpersonal and interactive skills
• Customer Service Focus
• Ability to interact at all levels
• Ability to project manage multiple tasks simultaneously
• Professional
• Deadline driven
• Methodical and process driven
Preferably Call Centre Experience
Must be currently Based in Cape Town
