Project Operations Manager

Job Description: 

Duties:

  • General Operations:
    • Manage and oversee in-house operations on behalf of Directors/CEO
    • Change management and communication: own the management and communication of operational change
    • Evaluates and makes successful critical business decisions, quickly, independently, even when under pressure
    • Recommends and implements enhancements to improve effectiveness and efficiency of services, systems & processes. Developing and executing company-wide initiatives.
  • Capability Strategy Assesses the organisation’s current capabilities against future objectives and requirements, and formulates a strategy for company placement and growth in the industry (in collaboration with Directors/CEO).
  • Manage and report on operational expenditure:
    • Hardware/workstations
    • Office infrastructure
    • Overseeing maintenance and support (SLAs)
  • Inductions, coaching, and training for new starters in terms of operations
  • Managing the team's schedules every week to ensure efficiency
  • Notify team members and stakeholders of schedule changes that will affect delivery dates
  • Manages and directs overall team activities and monitors progress
  • Review all creative and technical requirements and deliverables to ensure all work remains in scope
  • Provide subject matter expertise regarding key decisions related to industry and/or functional area
  • Overview of all submitted and approved timesheets in Harvest against projects
  • Software Tools; Manage accounts, subscriptions and billing
  • Hosting server maintenance
  • Champion software tools like Target Process, TP Help Desk, Harvest, etc.
  • Champion Google-Suite
  • Service Providers:
    • Manage team in India - Billing, assignments, follow-ups, etc.
    • Oversee network and phones
  • Strategic thinking and decision making

 

PM/Scrum Master

  • Project Management:
    • Drive projects; including requirements, communications, issue resolution, risk, etc.
    • Ensure project is delivered on-time and on-budget

 

  • Administer and approve project time, expenses and reporting (Harvest)
  • Facilitate all Scrum rituals and artefacts
    • Facilitate daily stand-ups, facilitate meetings, schedule meetings, demo and decision-making processes in order to ensure quick inspection and proper use of adaptation process
    • Responsible for managing the scrum process with the coordination of scrum team in Agile methodology
    • Should be a good coach in Agile practices
    • Guiding the team to be self-managing
    • Analyse the current Agile maturity, prioritize areas for improvement, and work alongside stakeholders to implement improvements
    • Removing and tracking impediments (or guiding the team to remove impediments by finding the right people to remove the impediments)
    • Help team or individual to clarify goals and actions to achieve them
    • Building a trusting and safe environment where problems can be raised without fear of blame, retribution, or being judged, with an emphasis on healing and problem solving
    • Facilitating conflict resolution, discussion, and decision making by focusing on scrum values of openness, honesty and respect
    • Project estimation and planning with Key Account Managers
    • Assisting with internal and external communication, improving transparency, and radiating information
    • Supporting and educating the Product Owners/Key Account Managers, especially with respect to grooming and maintaining the product backlog and get it ready for the next sprint
    • Providing all support to the team using a servant leadership style whenever possible, and leading by example
    • Facilitate his team for better creativity and tries to improve the efficiency of the development team
    • Act as safeguard for the production team

 

Measurable KPI’s/Metrics:

 

  1. Ask for assistance when required, raising issues and concerns well in advance
  2. Managing the work schedule effectively and assisting on larger projects more often
  3. Ensuring that office management tasks are handed over to Anelda
  4. Ensuring the stand-ups happen on time, and keep record of latecomers for HR
  5. Ensuring all staff log their timesheets on time and keeping record of late submissions for HR
  6. Taking part in/contributing to any training and development courses the company has to offer
