Duties: Provide administrative support to the division which include the following: ● Act as the point of contact for internal and external clients ● Organize and schedule appointments. Receive deliveries from suppliers● Plan meetings and take detailed minutes ●Write and distribute email, correspondence memos, letters, faxes and forms●Assist in the preparation of regularly scheduled reports● Develop and maintain a filing system●Book travel arrangements●Provide general support to visitors● Maintain in-house documents in accordance with the existing practices ●Ensure smooth inflow and outflow of document (Keeps record of documents leaving Security and Information Department)● Provide overall secretarial services to the Security, Vetting , Information and Safety●Prepare presentations on behalf of the Manager: Security and Information● Compile meeting packs.
Requirements: Grade 12 with relevant Diploma in Office Management or preferably in Security, Information, Vetting and Safety coupled with 2 to 3 years’ experience in Safety Security and information environment.
Essential criteria: Envisaged candidate should be able to display a great deal of knowledge in terms of Security and Information; administrative processes; knowledge of computer packages. Good Interpersonal relations skills; planning and organizing skills; presentation skills; ability to work under pressure without compromising the quality of work; ability to interact with clients will be essential. Knowledge of office management systems and procedures. Excellent time management skills and the ability to prioritize work. Attention to detail and problem solving skills. Excellent written and verbal communication skills. Strong organizational skills with the ability to multi-task. Knowledge of analyzing and capturing information will be an added advantage.
