Document Management Officer

Essential criteria: In-depth and demonstrable knowledge and competence in office administration and management function and principles● In-depth and demonstrable knowledge and competence in document management function and principles, as well as developing and implementing related policies, procedures, procedures, systems and improvements ● Computer literacy in MS Office packages i.e. Word, Excel, PowerPoint, Outlook and Access ● Excellent verbal and written communication skills (to all levels & personalities) ● Excellent report writing, research and analysis skills● Excellent planning and organizing skills ●Excellent analytical and problem solving skills● Excellent interpersonal relations skills.

Key Performance Areas: Help develop and enforce documentation design, review, and storage guidelines● Develop the document management plan and update it, as needed● Manage organizational documentation through the document life cycle● Maintain organizational documents and the document management system● Ensure that organizational documents go through a documented and approved review-and-approval process before being stored● Implement scanning or other automated data entry procedures, using imaging devices and document imaging software● Assist in the assessment, acquisition, or deployment of new electronic document management systems● Implement electronic document processing, retrieval, and distribution systems in collaboration with other information technology specialists● Identify and classify documents or other electronic content according to characteristics such as security level, function, and metadata● Develop document management policies to facilitate efficient, legal, and secure access to electronic content● Document technical functions and specifications for new or proposed content management systems● Develop, document, or maintain standards, best practices, or system usage procedures● Retrieve electronic assets from repository for distribution to users, collecting and returning to repository, if necessary ● Plan and conduct periodic meetings and presentations related to document management● Consult with end users regarding problems in accessing electronic content or manual files● Ensure the security, accessibility, and proper distribution of organizational documents● ●Develop or configure document management system features, such as user interfaces, access profiles, and document workflow procedures.

Job Requirements: 

Grade 12, a recognized Diploma/ Degree in Office Administration and Project Management coupled with minimum of at least 3 years’ experience as a Document Management Officer.
