Executive Assistant to the CEO

The Construction Education and Training Authority (CETA) exists in terms of the Skills Development Act and is a categorised as a Schedule 3A public entity in terms of the Public Finance Management Act (PFMA). Its mandate includes:

• Developing and implementing a sector skills plan
• Promoting learning programmes
• Registering learning programme agreements
• Serving as an Education and Training Quality Authority
• Collecting and disbursing skills development levies
• Liaising with the National Skills Authority
• Reporting to the Director-General of the Department of Higher Education and Training on its activities

The CETA would like to make the following appointment on a fixed-term contracts up to 31 March 2020, renewable at its discretion:

Executive Assistant
Reporting to the Chief Executive Officer
Based at the Head Office, Midrand
All-inclusive salary package negotiable

Job Profile

The Executive Assistant to the CEO is responsible primarily for rendering Administrative and Secretarial support.

Minimum Requirements for the Position

•A three-year university degree or equivalent qualification(Secretarial or Administration)
•At least three years’ experience as an executive assistant
•Demonstrable advanced Excel knowledge and application is essential
•Numerically literate (must be comfortable working with numbers and formulas)
•Demonstrable MS Office skills at an advanced level essential
•Understanding of the PFMA
•Understanding of corporate management
•Above average understanding of the South African skills development environment

Duties and Responsibilities
•Development of the units business plan
•Development and responsible management of the Unit’s budget
•Development and review of policies, processes and procedures
•Develop the Unit’s meetings’ agendas
•Oversee minute-taking in the Unit’s meetings
•Provide relevant information and support to providers
•Review relevant processes, template, standard operating procedures to ensure continuous improvement
•Diary planning/scheduling of appointments and ensuring efficiency of the office of the CEO
•Manage document flow, filing, safety and custody
•Provide secretarial services for the units meetings
•Facilitating logistical arrangements for monthly/quarterly division meetings
•Manage the Compliance Calendar for executives submission requirements
•Communicating with internal and external stakeholders telephonically, in person and in writing through the drafting of letters, documents, reports, faxes and e-mail messages
•Ensuring the professional and timely dispatch and distribution of such correspondence
•Coordinating of travel and accommodation arrangements for the executives
•Scheduling of arrangements for the executives meetings with internal and external stakeholders
•Establishing and maintaining a secure paper-based filing system
•Manage filing and review correspondence on a daily basis
•Drawing relevant files in preparation for meetings and engagements
•Follow up and liaise with the executives’ direct reports on operational matters
•Perform any other duties as directed
