Front Desk Assistant Manager / Receptionist

This well-known Clinic in Gardens - Cape Town is looking for a front desk assistant Manager/Receptionist to join their team to ensure smooth running of all functions of the spa

front of house as well as back of house.

Salary around R10 000 depending on experience

Reports to Spa Manager

The following competencies are required for this position:

- Should be able to think on feet, solve problems and make decisions with no guidance

- Must be able to function under pressure

- Self-Management -Manage own time to complete tasks within set deadlines

- Technology . -Having a range of IT skills: Word, Excel, Powerpoint, Outlook Basic Graphic design

- Learning . Managing own learning

- Training will be provided when needed

4. KEY PERFORMANCE OBJECTIVES

Daily:

Check Spa ambiance - all lights burning, neat, smell, music etc (opening procedure)

Responsible for daily cash in box - always be alert of opening float, cash in and out.

Check that sales are closed of correctly throughout the day.

Pay and adjust any EFT payments - check emails regularly for this

Update account sheet if applicable when EFT has been adjusted

Send SMS to following day spa clients

Send Sms to DR patients two days ahead

Call Dr patients for the following day to confirm

Check voicemails

Email Dr schedule day before and morning of appointments

Check and update Google Diary

Prepare Dr patient files -Take out and prepare new

Manage Dr bookings. - App times, duration, sequence, preps

Put treatment schedules together if applicable and send to patients within 48 hours

Attend to online queries as they come through - to be answered within two hours

Check mail regularly for emails requiring attendance

Attend to general spa bookings, calls and queries

Check Facebook for any messages

Call Diary appointments for the day

Follow up calls to all dr' s clients

Check that patient files are filed

Cash up

Qualifications :

Desirable: Diploma in Health and Skincare

-Office Admin

Knowledge, Skills & Experience (Essential): Health and Skincare

Knowledge, Skills & Experience (Desirable): Office Admin

Benefits: half medical aid after 1 year, full medical aid after 2 years, pension fund after 5years of employment

Hours: Mon-Thu 9am-18:00pm,Fri 9am-16:00pm,every second Saturday 9am-17:00pm. Off every Sunday and every 2nd Saturday
