PERSONAL ASSISTANT - DURBAN
CORE PURPOSE

The personal assistant is responsible for organizing and coordinating the office of the managing director and directors to ensure organisational effectiveness and efficiency.

CORE FUNCTIONS INCLUDE:
Diary and Meeting Management

• Managing diaries and organizing meetings and appointments
• Maintain a filing system and document management for the institution.
• Screening calls, taking messages and sending messages for all the directors
• Coordination of venue bookings for SOE
• Managing the processing of personal claims to CDS for medical aid
Secretarial duties
• Arranging meetings and invites for the Operations Committee
• Arranging meetings and invites for EXCO meetings
• Arranging and drafting the agenda for all meetings and arranging logistics
• Taking minutes and distribution of minutes to members after the meetings have taken place
Processing of payments
• Placing orders and ensuring that invoices are sent with requisitions to finance
• Processing payments for the manager’s weekly lunch
• Responsible for doing the petty cash recon
• Processing of newspaper yearly subscriptions
Adhoc duties
• Supervising the general assistant in ensuring that duties are executed efficiently
• Sending out invites for graduations to all VIP guests
• Assist with the graduation attire and the procession
• Populate, print and distribution of the events calendar
• Provide assistance to the examinations department and the business class lounge

Job Requirements: 

QUALIFICATIONS

• Secretarial Certificate

EXPERIENCE AND SKILLS

• At least 1-2 years’ experience within a similar environment
• Proficient in Microsoft Office (Excel, Word, Power Point, Access, Internet and Email)
• Integrity
• Excellent writing skills
• Must be able to make sound judgement under pressure
• Decision maker
• Deadline Driven
• Strong interpersonal skills
• Proven track record and the ability to prioritize
• Numerical ability
• Reporting skills
• Prioritization and time management
• Possess a high level of ethics and confidentiality

GENERAL
• Must be able to work overtime and under pressure when necessary
